The Role

The Finance Administrator role provides essential financial support to The Macallan Estate Experience team, ensuring the smooth operation of the business in alignment with Edrington’s standards, policies, and procedures, while reflecting the excellence of The Macallan brand. This role contributes to the analysis of key performance indicators across all areas of the Estate Experience, enabling more informed financial decision-making. It also supports budgeting, forecasting, and financial reporting for both the Estate Experience and its management team.,

  • Cash Handling & Reconciliation: Oversee cash processes across EPOS Now, Shopify, AnyRoad, and SevenRooms; ensure accurate reporting and provide training.
  • Budget & Spend Management: Track A&P budgets, monitor costs, and support budget forecasting and financial compliance.
  • Purchase & Supplier Management: Raise and track POs via SAP, process supplier invoices through VIM, and manage supplier/customer setup via NAVEX and EPOS systems.
  • Customer Invoicing & Payments: Prepare visit and stock invoices, manage internal recharges, and process BACS requests.
  • Reporting & Analysis: Compile weekly sales reports, manage KPI tracking (footfall, occupancy, NPS), and distribute monthly dashboards.
  • Event & Expense Reconciliation: Allocate and reconcile event costs, manage Concur expenses, and collate overtime data.
  • Finance Support & Collaboration: Assist with month-end reconciliations, support wider finance team, and ensure accurate deposit tracking.

To be successful in this role, you will bring strong numerical and organisational skills, along with a mindset focused on continuous improvement and collaboration. You’ll be systems literate and confident using MS Office, particularly Excel. A genuine interest in pursuing a career in finance will be beneficial, as will your excellent attention to detail and ability to manage multiple tasks effectively. You’ll also be comfortable engaging with stakeholders at all levels, both internally and externally, building strong working relationships across the business.
